We are looking for an Assistant Director who will provide comprehensive administrative and organizational support to Management Team. This role is responsible for managing schedules, coordinating meetings and business travel, handling documentation and approvals, and acting as a key liaison between management and internal stakeholders. The position requires excellent organizational skills, discretion, attention to detail, and the ability to manage multiple priorities in a dynamic business environment.
Responsibilities:
- Provide administrative and organizational support to the Director and, when required, members of the leadership team.
- Manage and coordinate the Director's calendar, ensuring effective prioritization of meetings, appointments, and business activities.
- Organize and coordinate internal and external meetings, both onsite and virtual, including agenda management, participant coordination, meeting room bookings, and logistical arrangements.
- Prepare meeting materials, presentations, minutes, notifications, and other business-related documentation.
- Review, process, and approve documents, requests, and expense claims on behalf of the Director within the delegated authority framework.
- Prepare documents for signature and follow up on approvals and required signatories.
- Coordinate domestic and international business travel arrangements, including flights, accommodation, transportation, and restaurant reservations.
- Organize and support company events, management meetings, and other corporate activities.
- Act as a key point of contact between the Director, employees, and other internal stakeholders, ensuring smooth communication and timely information flow.
- Maintain, organize, and track incoming and outgoing documents, ensuring proper documentation and record keeping.
- Prepare, consolidate, and monitor reports and management-related information as requested.
- Handle confidential information and documentation with the highest level of integrity, discretion, and professionalism.
- Collaborate closely with administrative functions and external service providers to ensure efficient office and executive support.
- Support the implementation and follow-up of management initiatives and action items.
- Represent the Director in administrative and coordination matters within the defined scope of responsibility.
- Identify opportunities to improve administrative processes and enhance operational efficiency.
- Participate in professional training and development programs.
- Request support and resources necessary to achieve assigned objectives.
Qualifications:
- Bachelor's degree or equivalent higher education qualification.
- Minimum 2 years of experience in a similar role (Executive Assistant, Personal Assistant, Office Manager, or Administrative Assistant).
- Advanced knowledge of Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.
- Advanced English language skills, both written and spoken.
- Excellent organizational, planning, and time management skills.
- Strong interpersonal, communication, and stakeholder management abilities.
- High level of discretion and experience handling confidential information.
- Strong attention to detail and ability to manage multiple priorities simultaneously.
- Proactive mindset with strong problem-solving capabilities.
- Ability to work independently while maintaining effective collaboration across teams.
- Driving licence category B represents an advantage.
