We are looking for a Business Management Support & Administration Team Lead, who will be responsible for correct, efficient and timely performance of duties assigned to DSV GBS Administration Team. Supporting the Management Board through reporting, including project updates, building meeting agendas, management of calendar of visits and travels. Direct report to Senior Manager, Local Accounting.
Responsibilities:
- Supervision and management of the Administration Team, including Facility management.
- Coordinating and leading one or more teams across various areas of responsibility.
- Project management, including supervising and coordinating the work of contractors.
- Prepares the technical specifications (tasks note) for the execution of works that require external contractors and supervises the selection process.
- Verifying that agreed work by staff or contractors has been completed satisfactorily and addressing any deficiencies.
- Applying performance management techniques to monitor service levels, demonstrate achievements, and drive continuous improvement.
- Implementing global standards and best practices for procurement, administration and facility operations and maintenance.
- Managing administration processes and implementing necessary improvements.
- Supporting the Managing Director in organizing visits, events, communications, and other ad-hoc tasks. Maintaining accurate records of visits and business travels.
- Preparing and communicating meetings’ agenda and supporting Management meetings.
- Managing and leading organizational change to ensure minimal disruption to core activities.
- Ensuring working space meets health and safety requirements and that facilities comply with all applicable legislation.
- Securing and maintaining all necessary authorizations, permits, and licenses for building operations.
- Planning optimal allocation and utilization of office space and resources.
- Developing and implementing preventive and corrective maintenance strategies on all areas under control.
- Recruiting, training, and team members development.
- Setting individual and team goals.
- Monitoring employees' progress and providing them with regular feedback.
- Supervision over the work of direct subordinates and their results.
- Determine priorities for services provided by the subordinate Team.
- Ensuring effective communication regarding administrative matters within GBS.
- Taking responsibility for the part of the process which lies with the GBS Administration Team.
- Responsible and accountable for all office and process & activities related in the organization.
- Collaborating with other departments, administration customers, and suppliers.
- Ensuring compliance with internal regulations, procedures, law, including labor regulations, regulations on remuneration and other internal regulations in the company, including company’s intellectual property protection.

Qualifications:
- Higher education.
- Very good knowledge of English (C1).
- Proficiency in using standard office software, including Microsoft Office Suite.
