Main Purpose of The Role:

To manage the Airfreight team, including the airfreight import and export operational processes / financial results / KPIs and client requirements and support from business as a whole.

 

Minimum Requirements:

  • Minimum 5 years’ experience in Airfreight
  • Min 5 years’ experience in freight forwarding.
  • Must have knowledge of import air process and basic understanding of air export process
  • Person must be organized and be able to manage a portfolio of clients / team of individuals
  • Self-Motivated and deadline driven
  • Able to work under pressure
  • Communicate effectively with local colleagues and clients
  • Team player with positive attitude
  • Process Driven
  • P&L Management Experience advantageous

 

Qualifications: 

Qualification in Logistics or Supply Chain Management an added advantage 

 

Computer packages

Office 365 (Teams, OneNote, Forms), MS Word, Excel, PowerPoint, Outlook

Cargowise understanding and previous experience would be beneficial

Strong Outlook understanding and competency

 

Duties and Responsibilities:

  • Ability to manage clients, meet with them, discuss challenges on shipments and handle any client correspondence both telephonically, on email and in person.
  • Liaising and pro-actively communicating with clients throughout the process.
  • Ability to escalate where required to the relevant parties, and maintaining a good working relationship with all various teams and departments.
  • Manage the Job Prof report daily
  • Ensure we reach our vendor and debtors targets
  • Global office communication
  • Manage Intercompany Report
  • Manage all required financial reporting applicable
  • Manage credit notes
  • Ensure the team is billing the correct rates as per client and internal requirements and QMS
  • Manage all 3rd party contractors e.g. FSI / Guardforce etc
  • Ensure department KPI’s are maintained
  • Monitor the team’s performance and output
  • Complete the team one on ones annually with feedback given
  • Disciplinary action when required
  • Monitoring of sick leave and annual leave
  • Ensure all cargo are invoiced within the invoicing metric
  • Monitor data quality
  • Ensure all team members are trained and up to date with Dangerous Goods
  • Ensure we share toolbox talks / monthly updates and information with the team and continuously train on Cargowise updates
  • Ensure all team members are up to date with handling DG / express/ valuable cargo
  • Ensure all team members are monitoring and managing consols, shipment tracking, ETAs etc
  • Ensure all team members are completing the billings / rates checking correctly and within metric
  • Monitor that AP invoices are imported and communicated with the rest of the team to remove duplicate costs
  • Ensure team are updating all milestones throughout shipment lifecycle.
  • Continue to drive profits / revenue on all shipments and clients.
  • Complete all special reports for clients (support sales and CRM where required)
  • Support with client visits / carrier meetings / vendor meetings where required.
  • Manage revenue and think of new ways of creating increased revenue
  • Manage all operational expenses e.g. telephone, stationery, ensure minimized paper and any other expenses
  • Support sales and CRM
  • Attend Implementation meetings and ensure accounts are allocated and signed on correctly within operations
  • Support with external departments; landside / transport / DSV cold / customs / invoicing
  • Continue to support with continuous improvement projects
  • Support with interviews / SRFs and RTEs to align to the recruitment process
  • Support the team to manage within committees on events / farewells/retirements etc.
  • Support the team on escalations form clients / queries and reports to clients and escalate with product and origin.
  • Escalate on ongoing issues
  • Support the enforcement of company policies, Code of Conduct and values
  • Support on all reports; unbooked / profit and loss / unbilled / transactional reports / dummy vendors / credit notes / WIPs / closing files / run offs etc

 

Electives:

  • Commercial experience
  • Extensive relationship with all major airline carriers and ground handlers in Cape Town
  • Client orientated and commercially focused.
  • Strong with operational processes.
  • Able to lead a team and adaptable to change.
  • Financially orientated.
