You will join our Group PMO and our Project Support Team in Warsaw, Poland – a close-knit and growing group of 9 colleagues who act as the operational backbone for project management across DSV. We are the first point of contact for stakeholders at all levels – from project managers to executive leadership – and we take pride in our customer support excellence.

Keep projects on track – and governance in check
As Administrative Specialist, you play a key role in safeguarding project governance and ensuring that project documentation, reporting, and processes are well structured and up to date. You will collaborate closely with project managers, stakeholders, and PMO management – handling both routine and ad hoc tasks that support smooth execution and continuous improvement.
Together with the team, you will take care of incoming enquiries and be the first line of contact to our PMO office. Doing so, you will, among other things:
- Maintain and update project portfolios, roadmaps, and project documentation across tools and platforms
- Ensure governance standards are followed by coordinating documentation and quality assurance for project approvals
- Act on behalf of PMO management in reviewing and improving processes, templates, and methodologies
- Coordinate updates and manage content across internal platforms such as SharePoint and DSV Central
- Deliver project reports tailored to various stakeholder levels – including executive leadership
- Support onboarding, training, and knowledge sharing within the team and across the organisation

You bring structure, clarity, and a can-do approach to every task
You thrive in a dynamic environment where priorities can shift – and when they do, your structure, initiative, and attention to detail make a real difference. You feel confident communicating with stakeholders at all levels, including senior executives, and know how to adapt your approach to the situation.
We are open to various entries into this position – we do imagine that you bring:
- Experience from a coordinating, supporting, or administrative role – e.g. team assistant, office coordinator, business analyst, or similar
- Experience from in an international environment
- Strong skills in MS Office, particularly PowerPoint, Excel and SharePoint
- English proficiency – written and spoken
- Familiarity with an agile approach to projects as well as PRINCE2 knowledge – this is a strong advantage, but not a requirement
- A proactive mindset, with the ability to learn quickly and manage several tasks at once
