Job Posting Title: Tender Specialist, Project Logistics - 132218
Time Type: Full Time

The Tender Specialist – Project Logistics is responsible for preparing high-quality technical documentation, tender responses, RFIs, proposals, and client presentations supporting complex project logistics opportunities.

Working closely with Business Development, Operations, Project Management, Engineering, and other subject-matter experts, the role translates technical and operational solutions into clear, compelling, and professionally structured client-facing materials.

The position requires strong technical writing, analytical, and communication skills, together with an understanding of project logistics and the ability to articulate complex logistics methodologies and execution strategies.

Key Responsibilities

1. Tender and Proposal Development

  • Prepare technical responses to RFQs, RFPs, RFIs, prequalification requests, and client enquiries.
  • Review tender documentation to identify scope, technical requirements, deliverables, and evaluation criteria.
  • Develop technical narratives describing proposed logistics solutions, execution methodologies, and capabilities.
  • Coordinate and consolidate input from operational, engineering, commercial, and other subject-matter experts.
  • Ensure tender submissions are technically accurate, compliant, consistent, and professionally presented.
  • Identify gaps, inconsistencies, and outstanding information requiring clarification.

2. Technical Writing and Documentation

  • Develop technical content addressing areas including:
  • Project logistics execution plans and methodologies.
  • Heavy-lift, oversized cargo, and multimodal transportation.
  • Ocean, road, rail, barge, and airfreight logistics.
  • Port operations, cargo handling, and transport engineering interfaces.
  • Warehousing, material management, and construction-site logistics.
  • Project controls, reporting, and supply-chain visibility.
  • HSSE, risk management, contingency planning, and subcontractor management.
  • Project mobilization, implementation, and organizational structures.

The role requires sufficient technical understanding to accurately document proposed solutions and challenge incomplete or inconsistent information, without necessarily being responsible for engineering the solutions.

3. RFI Responses and Client Clarifications

  • Prepare and coordinate responses to client RFIs, technical clarifications, and questionnaires.
  • Obtain and validate information from internal specialists.
  • Ensure responses are accurate, consistent with the proposed solution, and delivered within required deadlines.
  • Identify and escalate technical or commercial issues affecting project scope, risk, schedule, or execution.

4. Presentations and Client Communication

  • Develop professional PowerPoint presentations for tender submissions, client meetings, technical workshops, and management reviews.
  • Translate complex technical information into clear diagrams, workflows, timelines, and executive summaries.
  • Support Business Development and Operations teams in communicating proposed solutions and differentiating capabilities.

5. Tender Coordination and Knowledge Management

  • Coordinate technical contributions, document reviews, submission schedules, and version control.
  • Maintain reusable libraries of technical methodologies, case studies, project references, and standard responses.
  • Develop and improve proposal templates, presentation materials, and technical documentation.
  • Identify opportunities to improve tender efficiency through digital tools, automation, and AI-assisted content development.

Required Qualifications and Experience

  • Experience in technical writing, tender development, proposal management, project logistics, freight forwarding, EPC/EPCM, engineering, or related industries.
  • Demonstrated ability to produce high-quality technical and commercial documentation.
  • Strong written English, editing, document structuring, and presentation skills.
  • Ability to interpret technical scopes of work, specifications, and complex client requirements.
  • Experience collaborating with technical and commercial stakeholders.
  • Advanced proficiency in Microsoft Word and PowerPoint, with good Excel skills.
  • Strong organizational skills and ability to manage competing deadlines.

Preferred Experience

  • Experience in project logistics, industrial projects, energy, mining, infrastructure, or major construction projects.
  • Familiarity with heavy-lift, breakbulk, specialized transportation, and multimodal logistics.
  • Exposure to logistics execution plans, method statements, transport studies, risk assessments, and project controls.
  • Experience developing technical diagrams, process flows, and client-facing presentations.
  • Familiarity with SharePoint, document-management systems, and AI-assisted writing tools.

This is a technical proposal development role, not primarily an administrative tender coordination position.

For this position, the expected base pay range is $65,000.00 – $85,000.00 annually. Actual compensation will be determined based on job-related factors such as relevant experience, skills, education, certifications, and geographic location, in accordance with applicable laws and company policy.
