The Terminal Operator supports day-to-day execution of warehouse and fulfillment activities for a luxury fashion client and acts as the primary operational executor within the assigned function (B2B store replenishment, B2C e-commerce, or Inbound & Returns).
The Coordinator works under the guidance of the Team Leader and serves as the first operational contact for warehouse execution and order processing, ensuring tasks are completed in line with brand standards, delivery schedules, and seasonal priorities. After onboarding, the Coordinator will receive cross-functional training to ensure business continuity and flexible workforce planning.
Functional Assignment
- At the time of deployment, the Coordinator will be assigned primarily to one of the following streams:
- B2B Store Replenishment & Transfers
- B2C E-commerce Fulfillment & Courier Coordination
- Inbound & Returns Processing
- While ownership is functional, the Coordinator is expected to support other streams during peak periods and absences after cross-training.
Key Responsibilities
Operational Execution (Assigned Function)
Inbound & Returns Stream
- Receive and validate:
- ASNs and inbound documentation
- Return manifests from stores and e-commerce
- Coordinate receiving and put-away with warehouse floor teams
- Ensure quality checks, damage reporting, and discrepancy escalation
- Support seasonal inbound peaks and campaign launches
- Monitor return processing timelines and system confirmations
B2B Store Replenishment Stream
- Process store orders and replenishment waves in WMS
- Generate pick lists and verify order prioritization by:
- Mall delivery windows
- Store trading schedules
- VM campaign timelines
- Coordinate packing standards and store-ready labeling
- Track deliveries and POD closure
- Support urgent store-to-store transfers
B2C E-commerce Stream
- Process daily order drops in line with cut-off times
- Coordinate picking, packing, and handover to courier partners
- Monitor failed deliveries and customer returns
- Ensure system status accuracy and order completion
- Support express and priority orders
Warehouse & System Coordination
- Daily coordination with:
- Floor In-Charge
- Pick/pack teams
- Returns processing teams
- Ensure correct execution of:
- Picking
- Packing
- Labeling
- System confirmations
- Support cycle counts and stock investigations when assigned
Escalation & Issue Handling
- Identify and report to Team Leader:
- Stock discrepancies
- Delivery delays
- Capacity constraints
- Quality concerns
- Support investigation of:
- Missing items
- Damaged products
- Failed deliveries
- Maintain issue logs as required by client or internal SOP
Customer & Internal Communication
- Communicate operational updates to Team Leader
- Coordinate with:
- Transport teams
- Courier providers
- Warehouse supervisors
- Support client reporting preparation when requested
- Maintain professional handling aligned with luxury brand standards
Reporting & Compliance
- Maintain accurate WMS transaction processing
- Support preparation of:
- Inbound/outbound status reports
- Return processing reports
- Store fulfillment performance
- Ensure adherence to:
- Client SOPs
- Security and loss-prevention rules
- High-value product handling standards
Interfaces
Internal:
- Team Leader – Luxury Fashion Operations
- Warehouse Supervisors and Floor Teams
- Transport Planning & Courier Coordination
- Inventory Control Team
- IT / WMS Support
External (when assigned):
- Courier partners
- Mall logistics desks (via transport team)
- Store operations (indirect, via client)
Qualifications & Experience
- Diploma or Bachelor’s degree preferred
- 2–4 years experience in fashion, retail, or contract logistics operations
- Understanding of at least one of the following:
- Store replenishment
- E-commerce fulfillment
- Inbound & returns handling
- Experience with:
- WMS systems
- MS Excel and basic reporting
