MAIN PURPOSE OF THE ROLE 
Support the Sales Director as well as the Sales Team with all Tender Submissions as well as any admin related to 
Sales submissions and work needed. National Admin for Contract Logistics for CRM

DUTIES & RESPONSIBILITIES
Tender Management Responsibilities:
• Project Manage resources within the Tender Team for the effective execution of tenders
• Schedule and co-ordinate tender response meetings
• Track progress, identify and highlight any risk that could impact submission response.
Content Management:
• Co-ordinate between all stakeholders towards creation of compelling content for all external marketing purposes. Stakeholders included but not limited to: Subject matters experts within division/business relevant to 
campaign, Serious Moonlight (copy writing), Interface Creative (graphic design), 41 Photos 
(Videographer/Photographer) and other marketing team members.
• Review and approve all content created 
• Co-ordinate the execution of release of content created based on defined platforms
Divisional Tender Management:
• Package engaging responsible persons to ensure commercial, technical, and contractual sections are fully 
reviewed and complied with
• Ensure appropriate sign off and legal compliance
• Establish and maintain an effective process for tracking and monitoring tender submissions and award status
• Initiate, document and communicate post tender evaluation, including lessons learned, highlights and milestones
Cross Silo Tender Execution:
• Support on cross silo tenders with content creation that is meaningful and compelling
• Format and proof prior to tender deadline
• Effectively resolve challenges and manage cross-functional teams between different divisions across South Africa to develop and propose a holistic winning solution
• Act as primary point of contact and information source within the organisation from receipt of enquiry until award of contract
• Develop and implement effective processes to address the complete tender package engaging responsible persons to ensure commercial, technical, and contractual sections are fully reviewed and complied with
• Ensure appropriate sign off and legal compliance
• Establish and maintain an effective process for tracking and monitoring tender submissions and award status
• Initiate, document and communicate post tender evaluation, including lessons learned, highlights and milestones
• Ensure holistic flow of our value prop and a oneDSV solution
• Achieve stakeholder compliance to requirements to ensure tender sign off achieved on time by Sales Director
• Development of Sales Collateral in support of tender management:
• Review content requirements based on trends identified in tender requests.
• Create compelling content that is engaging and relevant to the tender, in support of developing a winning solution.
• Engage with SME's to extract the intellectual property to support the content development in specific areas.
• Consistently review and update content available for use, across multiple forms/mediums based on business requirements
• Ensure all company documents and certificates maintained and up to date available on Commercial Hub
• Ensure all documents adhere to brand identity
• Update all group and divisional presentations are up to date and accurate

CRM Responsibilities
The National Administrator (NA) is appointed by local management to assist in the support and adoption of MS 
Dynamics. The NA should ensure that they have a close dialogue with the end users which for example could to be 
used in gathering their feedback related to the system etc. 

User Licenses 
• Request the setup of new users in MS Dynamics via the internal channels
• Request the deletion of users who have either left DSV or no longer need to use MS Dynamics 
• Ensure the correct licensed users are using MS Dynamics 

Training 
• Onboarding and Training of New MS Dynamics users within the area of responsibility 
• Ensure that all users are aware of the training material/information on the CRM SharePoint site 
• Perform regular training (refresher) sessions to ensure that all end users are kept up to date with the latest updates & features in MS Dynamics 

Support to Sales Team:
• Provide 1st level support to all users within nominated Countries/Divisions 
• Log in Issues, incorrect browser, general queries and functionality of MS Dynamics etc 
• Supporting end users to make changes to their records if they face issues (as NA’s can maintain all records) 
• Distinguish if the reported issue is IT or Business relevant then raise the issue to the correct team e.g. IT support team (via Cherwell) or CRM biz team 
• Active Participation in the Biweekly NA calls which are used to share information on bug fixes, new releases, best practices etc 
• Assign or change account owners to the existing accounts or transferring records within CRM 
• Sharing best practices learned to end users 
• Ensuring good data quality together with local management 
• Drive adoption of MS Dynamics together with local management 
Reporting 
• Download reports requested by management as the NA can download up to 100,000 rows of information 
compared to a normal user of 250 rows) 
• Assisting users/management with regards to general reporting & Dashboards 
• Perform or coordinate any changes within MS Dynamics that maybe requested by the CRM team 
Testing 
• The NA shall participate in any testing that may be required prior to the release of new changes or a bug fix 
etc. (especially if the NA raised the original ticket) 
Function- / Market & Industry Knowledge / Process working 
• General Functional know-how in air / sea / /road / solutions 
• Knowledge of DSV’s local and global strategy 
• General MS Dynamics know how 
Skills & Competencies (could be considered by local management) 
• Good overall understanding of sales
