Summary
The Administrative Coordinator plays a critical role in supporting daily transportation and operational activities by ensuring accurate reporting, maintaining data integrity, coordinating information across multiple systems, and providing administrative support to operations leadership. This position serves as a central point of communication between operations, management, and support departments to ensure the efficient flow of information and uninterrupted operational performance.
Duties & Responsibilities
- Provide administrative and operational support to managers and supervisors while maintaining effective communication across departments.
- Prepare, verify, and distribute operational reports, ensuring accuracy and completion within established deadlines.
- Maintain data integrity by reviewing, updating, and validating operational records, reports, and workforce tracking information.
- Manage Transportation Management System (TMS) activities, including data entry, updates, transaction processing, and issue resolution.
- Assist with daily operational planning by monitoring staffing, scheduling, workload demands, and potential operational risks.
- Maintain and update workforce tracking tools, including records and labor-related reporting.
- Monitor operational applications and system integrations, identify discrepancies, troubleshoot issues, and escalate concerns as needed.
- Conduct end-of-day (EOD) reconciliations by reviewing reports, system data, workforce records, and unresolved issues.
- Prepare accurate shift handoffs and communicate outstanding tasks, operational concerns, and follow-up requirements to management and incoming shifts.
- Support special projects, continuous improvement initiatives, and additional administrative responsibilities as assigned.
- Ensure compliance with company policies, operational procedures, and confidentiality requirements.
- Proactively identify, communicate, and escalate issues that could impact operational performance, service levels, compliance, or reporting accuracy.
Education & Experience
Required
- High School Diploma or GED.
- Basic computer proficiency and experience using business software applications.
- Strong organizational, administrative, and communication skills.
Preferred
- Associate degree or coursework in Business Administration, Supply Chain Management, Logistics, Transportation, Operations Management, or a related field.
- One (1) to three (3) years of administrative, transportation, logistics, warehouse, or operational support experience.
- Experience working with Transportation Management Systems (TMS), labor management systems, warehouse management systems, or operational databases.
- Experience supporting high-volume operational environments and managing multiple priorities.
- Advanced Microsoft Excel and reporting experience preferred.

Work Environment
The work environment characteristics described here are representative of those an employee may encounter while performing the essential functions of this role. This role operates across both office and active yard and warehouse environments, where the employee may be exposed to varying temperatures, outdoor weather conditions, and noise levels consistent with active transportation and logistics operation. Adherence to all applicable safety protocols and personal protective equipment (PPE) requirements is expected when working in yard and warehouse areas. The employee works in a fast-paced operational setting and may be required to manage multiple priorities simultaneously, respond to time-sensitive transportation issues, and maintain focus during periods of high activity. Extended hours may occasionally be required to support operational needs, driver scheduling, or service continuity.
For this position, the expected base pay range is $27.00 – $28.00 hourly. Actual compensation will be determined based on job-related factors such as relevant experience, skills, education, certifications, and geographic location, in accordance with applicable laws and company policy.
