SUMMARY
The Administrative Assistant provides support to the DSV Missoula office. They effectively perform a wide variety of responsibilities including, but not limited to: answering phones, greeting and directing office visitors, supply ordering and coordination, mail sorting and distribution, and processing of driver paperwork. Other tasks as assigned to include administrative and secretarial duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answer and route incoming phone calls. 
  • Greet office visitors, ensuring they are checked in and directed to the appropriate department/person. 
  • Open and distribute all incoming mail, FedEx and UPS.
  • Accurately process contractor mailed trip envelopes. 
  • Plan, schedule and organize the ordering of various office supplies while keeping track of all current inventory to ensure items are on hand as needed. 
  • Work with outside vendors to ensure the best pricing available. 
  • Performs other duties as required.

 

MINIMUM REQUIRED QUALIFICATIONS (SKILLS, KNOWLEDGE AND ABILITIES)    

 

Education and/or Experience

  • High School Diploma
  • Experience in Transportation or Office Management preferred 

 

Computer Skills

  • Proficient skills in Microsoft Office and other programs (Word, Outlook, Excel, PowerPoint, Access, Visio). 

 

Language Skills

  • English (reading, writing, and verbal).

 

Mathematical Skills

  • Proficient mathematical skills

 

PREFERRED QUALIFICATIONS (SKILLS, KNOWLEDGE AND ABILITIES)

  • Excellent interpersonal skills, both written and oral.
  • Microsoft Office Suite with advanced skill level in Microsoft Word and PowerPoint and strong skills in Microsoft Excel. 
  • High comfort level with Internet usage and ability to learn proprietary software.
  • Ability to exercise a high level of discretion in handling confidential information.
  • Attention to detail for collating and transferring information from diverse formats and sources.
  • Must be comfortable working through ambiguous situations 
  • Self-motivated, energetic, and able to perform with little supervision.
  • Strong customer service (external & internal customers).
  • Exceptional organizational & prioritization skills.
  • Experience at working both independently and in a team-oriented, collaborative environment is essential.
  • Multi-task and meet deadlines with the ability to rapidly adapt to unexpected job demands/changes in assignments/working conditions

 

PHYSICAL DEMANDS
While performing the duties of this job, the employee uses his/her hands to finger, handle or feel objects, tools, or controls; reach with hands and arms; stoop, kneel, or crouch; talk or hear.  The employee uses computer and telephone equipment.  Specific vision requirements of this job include close vision and distance vision. Must be able to up to lift 30 lbs.

While performing the duties of this job, the employee rarely is exposed to fumes or airborne particles, toxic or caustic chemicals. The noise level in the work environment is usually low to moderate.
