SUMMARY
This role will be responsible for the Operational Requirements as set out by the Clients, with specific focus on RTMS.
Manage all CLIENT transport movements by:
- Monitoring all loads assigned to CSR Routes, assigning available vehicles and drivers to the route in VFT
- Monitor real time Status Updated, either by Mobile App, GPS devise and in absence of such update in VFT directly. Using all the relevant systems and confidential information provided timorously within the customer’s SLA
- Ensure the compliance with the CLIENT SLA by all suppliers, DSV and CLIENT plant
- Communicate with RTM and DSV CLIENT plant Management on all exceptions
A full understanding of the Road Transportation process and being able to manage various logistical scenarios will be placed as top priority.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Liaise directly with the Suppliers, Drivers, Customer RTMS to ensure TRIP adherence
- Monitor individual trip movements to be executed as provided in the Fine Loads Screen
- Assign appropriate Driver and Vehicle in VFT to the TRIP
- Monitor assigned vehicle and driver on GPS tracking to ensure on time collection and delivery
- Liaise with suppliers on delays at pickup and escalate to Management and CLIENT RTM
- Report and vehicle breakdown or delays and take corrective action
- Monitor drivers on assigned routes and report any delays and take corrective actions
- Ensure that all loads status updated are updated within VFT within maximum of 15min from time of actual event
- Update VFT with all relevant Supplier and CLIENT references on each load
- Monitor updating of POD’s by Scanning team and ensure loads are completed
- Ensure time of completion of trip times within Trip rate, and should trip Time be exceeded report prior day trips times vs plan for rate escalation
- Compliance of sites to DSV standards:
- SHERQ – achieve minimum requirements
- Implement and maintain Quality Management System at all sites
- Achieve > 85% for all internal audits
- Accountable for all initiatives being implemented across these operations, including potential new client take-on
- Actively managing daily operational performance to consistently achieve performance metric targets
- Delivering on client and internal CIP requirements and driving lean culture
- Internal stakeholder communication management, ensure agreed to meetings, conference calls and forums are planned and conducted internal as agreed to by all stakeholders, this is an ongoing requirement.
- Customer dissatisfaction process, analyze failures with regards to deliveries, client complaints, damages etc to determine root cause and corrective actions.
- Ensure compliance to QSHE & RTMS policy, standard operating procedure as well as statutory guidance documents
- Write, review, train, implement, sustain & audit procedures / processes / workflows or other, as and when required to ensure compliance with adopted QSHE Management System & Road Transport Management System
- Active participation in audits whether internal, client, statutory or other
- Active participation in non-conformance closure through appropriate implementation of corrective action to ensure robustness of adopted QSHE / RTMS
- Active participation in continual improvement
- Proactive engagement within operational undertakings to ensure prompt escalation to relevant manager in the event of system failure and / or operational weaknesses or necessary enhancements
- Support the Management team through the communication of current issues and continuous improvement opportunities identified at Branch level. Tasks include:
- Report writing in respect of KPI’s;
- Daily / Weekly / Monthly productivity and efficiency reports;
- Submission of weekly housekeeping reports to general manager;
- Daily / Weekly / Monthly inspections aimed at QSHE; and
- Budget and P&L analisys
- Active participation in security matters to mitigate stock loss, theft or misappropriation including associated report writing in respect of noted incidents
- Active participation in supervisory tasks, including but not limited to:
- Departmental resource management
- Implementation and management of Occupational Health & Safety standards; and Management meeting attendance
- Facility and Equipment: Ensure that entire facility and all equipment is continuously maintained to required health and safety standards. This includes updated Facility Maintenance Register and MHE Register
- Contractor Management: Ensure all contactors are on DSV preferred provider list, meet all SHE requirements (compliant licenses, accreditations, processes, staff, training, and equipment), have suitable safety file and are audited daily whilst on site to ensure HSE standards are always met
QUALIFICATIONS
- Completed Matric / Grade 12
- Administration / Logitics / QSHE and added advantage
COMPUTER SKILLS
- Intermediate to Advanced Excel skills
- Tracking and Tracing systems working experience
- Reports and V-Lookups
- RTMS (Road Transport Management System)
EDUCATION AND/OR EXPERIENCE
- At least 5 years experience in Logistics, specifically related to Road Transportation
- Experience in POD, Driver and Client Management
- ISO 9001:2015 / 14001:2015 / 45001:2018; experience and added advantage
- Working experience with RTMS (Road Transport Management System) a MUST
- Experience in both Milkrun, Adhoc and Linehaul Operational Transport
- Excellent communication and relationship building skills
- Ability to work under pressure
- Must have experience in budget analysis and P&L.
- Communication & conflict management skills to successfully deal with all levels, age groups and cultures of people – both internal and external. Ability to manage people in a unionized environment successfully
- Multi-functional role: The ability to work in a complex environment across multi service segments internally and aligning the service delivery across the clients’ extremely diverse environment
- High level of emotional intelligence and maturity to manage multiple levels of stakeholders expectations
- Initiative to act proactively in an ever changing environment

- High degree of common sense to understand implications of actions as well as failure to act, and enough initiative to act proactively when required
- QMS, SHE and Continual Improvement Processes and Risk Management skills and experience
