Project Planning & Coordination
• Manage the full lifecycle of event logistics projects from enquiry to final reporting
• Interpret client requirements and translate them into quotations and operational plans
• Develop timelines, shipment plans, and resource allocation strategies
• Coordinate air, ocean, and road freight movements for event cargo
Client & Stakeholder Management
• Act as the primary point of contact for clients, organisers, venues, and overseas partners
• Provide regular status updates, milestone tracking, and proactive issue resolution
• Attend client briefings, site visits, and project management and operational meetings
Operational Execution
• Ensure timely booking of transport, customs clearance, and delivery to site
• Monitor shipment progress and manage deviations in real time
• Coordinate onsite logistics with the operational onsite team including move-in, marshalling, and move-out
Vendor & Partner Management
• Liaise with global agents, carriers, transporters, and service providers
• Negotiate competitive rates in line with project budgets
• Ensure compliance with service level agreements (SLAs)
Documentation & Compliance
• Oversee accurate preparation of shipping documents, permits, and customs requirements
• Ensure compliance with international trade regulations and event-specific procedures
• Manage carnet, temporary imports, and re-export processes
Financial & Commercial Control
• Prepare job costing, quotations, and budget tracking *Note: F&E target GP will be 30% and target EBIT will be 9%
• Monitor project profitability and control operational costs
• Ensure timely billing and cost recovery
Risk & Contingency Management
• Identify operational risks and implement mitigation plans
• Execute contingency solutions for time-critical cargo
• Maintain business continuity during live event operation
Reporting & Continuous Improvement
• Deliver post-event reports and performance analysis
• Capture lessons learned and implemented process improvements
