The Senior Project Specialist – Heliship is responsible for the end-to-end coordination and execution of complex, Helicopter project cargo shipments across all modes of transportation, including air, ocean, road, rail, and multimodal solutions.  This role requires extensive knowledge of freight forwarding operations, project cargo requirements, carrier capabilities, routing, documentation, pricing, and customer service. The Senior Project Specialist works closely with customers, carriers, overseas offices, agents, suppliers, and internal operational teams to develop transportation solutions and ensure shipments are executed safely, efficiently, and in accordance with customer requirements.
The successful candidate will be highly organized, commercially aware, solutions-oriented, and comfortable managing complex shipments from initial quotation through final delivery.

 

KEY DUTIES AND RESPONSIBILITIES

 

Project & Shipment Management
•    Manage the complete lifecycle of oversized, out-of-gauge, heavy-lift, and project cargo shipments from initial inquiry through final delivery. 
•    Develop and coordinate end-to-end transportation solutions across air, ocean, road, rail, and multimodal transportation. 
•    Review shipment requirements, including cargo dimensions, weight, volume, handling requirements, loading/unloading requirements, and delivery constraints. 
•    Coordinate complex routings and determine the most appropriate transportation mode and service solution. 
•    Liaise with carriers, trucking companies, terminals, ports, warehouses, customs brokers, agents, and other service providers. 
•    Coordinate specialized equipment and services, including flat racks, open-top containers, lowboys, step decks, RGN trailers, cranes, escorts, permits, and specialized handling where required. 
•    Monitor shipment milestones and proactively identify and resolve operational issues, delays, or changes to the transportation plan. 
•    Maintain ownership and accountability for shipments throughout the entire process. 


Quotations & Commercial Support
•    Prepare detailed and accurate quotations for complex project and oversized cargo movements. 
•    Analyze transportation requirements and develop cost-effective routing and service options. 
•    Obtain and evaluate rates from carriers, agents, subcontractors, and other service providers. 
•    Consider accessorial charges, fuel, permits, escorts, handling, storage, equipment, customs, terminal charges, and other project-related costs when preparing quotations. 
•    Identify opportunities to improve margins while maintaining competitive and commercially viable solutions. 
•    Support sales and account management teams with operational expertise during customer opportunities and RFQs. 
•    Participate in customer calls and meetings to understand requirements and present transportation solutions. 


Documentation & Compliance
•    Ensure all required shipping, customs, transportation, and project documentation is complete and accurate. 
•    Review bills of lading, commercial invoices, packing lists, certificates, permits, cargo specifications, and other shipment documentation. 
•    Ensure documentation accurately reflects cargo dimensions, weights, classifications, and special handling requirements. 
•    Coordinate with customs brokers and internal compliance teams where applicable. 
•    Ensure shipments comply with applicable transportation regulations and customer requirements. 
•    Maintain accurate shipment records and documentation throughout the project lifecycle. 


Customer Service
•    Serve as a key operational contact for customers managing complex or high-value shipments. 
•    Establish strong relationships with customers through proactive communication and reliable execution. 
•    Provide regular shipment updates, milestone reporting, and exception management. 
•    Understand customer priorities and develop solutions that balance cost, timing, risk, and service requirements. 
•    Address customer concerns and resolve issues promptly and professionally. 
•    Ensure a high level of customer satisfaction throughout the shipment lifecycle. 
•    Required, on occasion, to visit with prospective and existing clients to promote DSV’s services


Operational Coordination
•    Work closely with internal freight forwarding, pricing, customs, finance, and customer service teams. 
•    Coordinate with international offices, agents, and global project teams to ensure seamless execution. 
•    Review operational plans and identify potential risks before cargo movement. 
•    Coordinate site requirements, loading plans, delivery appointments, and specialized handling requirements. 
•    Track shipment performance against agreed timelines and service commitments. 
•    Maintain detailed project files and ensure timely completion of all operational and administrative requirements.

 

Quality, Health & Safety:
•    Supports organizational commitment to ISO 9001, ISO 45001 certification 
•    Perform assigned tasks to support DSV meets its objectives and targets regarding quality, health, safety and environment and follow all requirements as set out in the DSV Quality Health Safety Environment policy.
•    Staff are required to ensure that their day-to-day activities embrace sustainability, Health and safety therefore reducing the impact upon the environment, supporting the communities we work in and reducing incidents in the workplace.

 


QUALIFICATIONS

 

Education and Experience

•    Education in supply chain logistics, international transportation, or a related field of study.
•    5+  years of progressive experience in project cargo, heavy haul or specialized transportation 
•    Experience with all modes of transport (air/ocean/trucking) and be well versed handling oversized shipments
•    Experience preparing and analyzing complex transportation quotations.
•    CIFFA certificate, an asset
•    Dangerous Goods Certification, an asset

•    Strong experience managing oversized, out-of-gauge, heavy, or specialized cargo.
•    Excellent command, both verbal and written, English skills.  
•    Strong relationship-management skills. 
•    Ability to manage multiple projects simultaneously.

•    Strong interpersonal skills, building professional relationships internally and externally

Language and Computer Skills

•    English is the principal language for this position, additional languages may be required in other locations.

Physical Demands

•    Prolonged periods sitting and standing at a desk and working on a computer
•    Regular working hours apply for this position, at times, working beyond these hours may be required by business needs.
