The Tender Assistant supports the Global Customs Tender Team in the preparation of RFIs, RFQs and tender submissions across multiple countries.

The role focuses on coordination of inputs, structuring information and supporting the creation of customer-facing materials. In addition, the role contributes to maintaining tender documentation and reusable materials that support future opportunities.

This position is well suited for someone who would like to develop within customs, logistics and commercial tender processes, while working with international stakeholders.

Key Responsibilities

  • Support the coordination and day-to-day execution of tenders and pricing requests within the Global Customs team
  • Assist in reviewing tender requirements (e.g. scope, country coverage, data completeness) to identify required inputs and potential gaps
  • Support the collection and consolidation of input from country teams and internal stakeholders, coordinating communication across an international environment
  • Assist in reviewing tender requirements and support the preparation of tender materials, including scope clarification, country coverage, data validation, presentations (PowerPoint), pricing sheets and basic Excel data files, as well as customer questionnaires and response documents
  • Track deadlines, follow up on outstanding inputs and support timely and complete delivery of tender submissions
  • Support the maintenance and updating of tender-related materials, including rate repositories, country capability overviews, standard response templates and knowledge base content

 

Requirements

  • Basic understanding of customs processes and logistics
  • Interest in developing in tender processes, pricing and commercial activities
  • Strong organisational skills and ability to manage multiple tasks and deadlines
  • Good stakeholder coordination skills, with the confidence to follow up on inputs and work effectively in an international and cross-functional environment
  • Ability to work with incomplete or fragmented information and bring structure
  • Good working knowledge of Excel and PowerPoint (data handling, formatting, basic analysis)
  • Good written and verbal communication skills in English
